Aire de Olive was building a new wellness experience and a richer membership program at the same time.
Aire de Olive / Olive Collection needed those two ideas to work together. Members needed to book many of the same spa services as public guests, but their pricing, credits, benefits, access, and availability could be different.
Booking Ninjas helped bring those rules into one customer journey instead of making the team run separate systems for guests and members.
The challenge: the same spa service had to work differently for different guests
For a public guest, the experience could stay simple: choose a treatment, see availability, book, and pay.
For a member, the same booking could need much more context.
- Recognize the member
- Apply member pricing
- Check membership credits
- Use credits against the service
- Collect any remaining balance
- Show member-only availability
- Check benefit entitlements
- Protect limited capacity
Aire de Olive also wanted membership itself to begin with an application and approval step instead of letting anyone purchase a plan immediately.
That meant membership was not simply a discount code attached to a spa calendar. It had its own rules, value, access, and customer journey.
The solution: one booking journey that understands the customer
Booking Ninjas connected the spa booking flow with the membership information behind the guest.
The guest starts from the spa treatment or experience they want to book.
The system can tell whether the customer is booking as a public guest or as a member.
Pricing, available benefits, credits, and eligible booking windows can follow the membership.
Available credit can go toward the booking, with any remaining amount paid normally.
The booking, credit use, payment, and member activity remain connected to the same customer.
Booking Ninjas' current Booking Engine is built around the same idea: booking rules, availability, pricing, customer data, and operational workflows can stay connected inside Salesforce.
How the Aire de Olive setup fit together
| Aire de Olive need | Booking Ninjas setup | What it made easier |
|---|---|---|
| Public spa booking | Booking Engine + Reservation Management | Guests can browse services, see availability, book online, and pay through a clear spa booking flow. |
| Approve members first | Membership Application + Approval Workflow | The team can review prospective members before a membership becomes active. |
| Different member pricing | Membership Rules + Pricing | The same service can follow the pricing that applies to the customer making the booking. |
| Use membership credits | Stored Value Management | Credits can be tracked, redeemed against eligible bookings, and connected to the member's remaining balance. |
| Control member access | Availability + Capacity Rules | Member hours and limited experiences can follow their own booking windows and capacity limits. |
| Manage recurring membership value | Membership + Recurring Billing | Plans, recurring benefits, billing, and member status can remain part of the same customer record. |
| Offer wider Olive benefits | Benefit Inventory + Request Workflows | Pool, beach, daybed, hotel, and other benefits can follow the rules of the membership even when the fulfillment process differs. |
| Keep one customer view | Salesforce Customer Record | Bookings, membership, benefits, credits, payments, and future activity can stay connected around the same person. |
Membership became more than a discount
Aire de Olive wanted membership to feel like belonging to something, not carrying a coupon.
A plan could include preferred spa pricing, credits, selected access periods, and benefits elsewhere in the Olive Collection.
That makes membership an operating model.
The system needs to know what plan a member has, what value is still available, what they can book, when they can book it, and whether a benefit has limited capacity.
The Knowledge Center explains the member-facing side in What Is a Member Portal? .
Credits could become part of the booking instead of a separate calculation
One of the clearest examples is a member booking a spa treatment.
If the member has usable credit, that value can be applied toward the reservation.
If the credit does not cover the full treatment, the member can pay the remaining balance.
Booking Ninjas' current Stored Value Management supports this wider model by keeping issued value, redemption, remaining balances, adjustments, and related booking and payment activity connected.
That removes a lot of small manual decisions from the front desk.
Benefits also needed real capacity
Member access still has limits.
Aire de Olive wanted to control how much capacity was available for member hours and for experiences such as pool access, beach access, and daybeds.
That matters because a membership benefit only feels valuable if the experience behind it still feels good.
Giving unlimited access without looking at real capacity could make the benefit worse for everyone.
Booking Ninjas allows availability and capacity rules to sit beside membership rights, so the question becomes more useful than simply asking whether a member is entitled to something.
Public guests and members can use the same foundation
Aire de Olive did not need two separate spa businesses.
A public guest can use the normal booking experience and receive public pricing and availability.
A member can enter the same underlying environment, but the membership changes what applies to that person.
That keeps the service catalog, customer information, availability, payments, and reporting closer together while still allowing the two experiences to feel different where they should.
It also gives Aire de Olive one clearer customer history instead of splitting someone's spa visits, membership activity, benefits, and payments across separate applications.
For the underlying data idea, see What Is a Customer Record? .
The membership rules could belong to Aire de Olive
Aire de Olive was building a membership concept around its own spa, hotels, lifestyle benefits, capacity, and customer experience.
That is difficult to fit into software that assumes every spa membership works the same way.
Booking Ninjas could use Salesforce as the foundation while Aire de Olive decided how applications, pricing, credits, access, benefits, and approvals should work.
Booking Ninjas provides the technology underneath, but the customer still decides what membership should mean for its own business.
What this connected setup makes easier
There are no verified before-and-after financial numbers for this story, so the value is best shown through the work the setup is designed to reduce and connect.
Staff do not need to manually confirm the member, pricing, credits, and eligible benefits for every booking.
Members can use the normal spa journey while the system applies the rules that belong to them.
Issued value, redemption, and remaining balances can stay connected instead of being tracked informally.
Member access can still follow real availability and capacity instead of promising more than the experience can support.
Membership, bookings, benefits, credits, and payments can stay around the same Salesforce customer record.
Staff can spend less time rebuilding benefit rules and more time on the guest experience that actually needs a person.
The business value can show up on both sides
A connected setup can help reduce avoidable staff work, but it can also give Aire de Olive a cleaner way to turn membership into recurring value.
Members have more reasons to return when their credits, pricing, and benefits are easy to use.
The business also has better control over what it is offering and how much capacity those benefits consume.
Booking Ninjas cannot guarantee higher retention or revenue from that structure.
What it can do is make fewer membership benefits depend on manual memory and give paid services, recurring membership value, and limited experiences a clearer path through the same system.

Start with booking, then extend into membership
Aire de Olive is a good example of how Booking Ninjas can grow around the main booking workflow.
Booking Engine and Reservation Management can handle the appointment foundation.
Membership then adds another layer: plans, member recognition, recurring billing, credits, pricing, benefit rules, portals, capacity, and other workflows.
Later, the same foundation can extend into POS, retail, additional properties, deeper portals, hotel connections, reporting, or other Olive Collection experiences when those pieces are needed.
A customer does not need every module. The useful setup is the one that connects the parts of the experience that really depend on each other.
